PHIRST REAL ESTATE AUTOMATION

PHIRST REAL ESTATE AUTOMATION

Built a functional GHL funnel connecting lead capture, tagging, pipeline management, email nurture, appointment booking, and automated workflow transitions.

Workflow 1: Auto Reminders (Booking to Visit)

Purpose: The moment a lead books a site viewing, this workflow takes over and keeps them engaged all the way to the actual visit, without Leslie lifting a finger.

It sends a confirmation instantly, then reminders at 24 hours, 3 hours, and 1 hour before the appointment. This directly fights the #1 problem in real estate sales: no-shows.

Cancelled Viewing Recovery

Automated re-engagement for cancelled bookings.

Built a GHL workflow that triggers the moment a site viewing is cancelled.

The system immediately sends a reassuring message with a rebooking link, then uses wait-step logic to follow up again after 2 days and once more after 5 days, only if the contact hasn't already rebooked. I used conditional branching to check the contact's tag status before each follow-up, so the sequence automatically stops once they rebook. The workflow also updates the contact's pipeline stage back to New Lead, keeping the sales board accurate without manual input.

No-Show Recovery

Turning missed appointments into second chances.

Automated SMS follow-up with reply-based email logic.

Built a GHL workflow that activates when an appointment status changes to No Show. The system tags the contact, moves their opportunity card to the No Show stage on the pipeline, and sends an immediate, friendly rebooking message. Using wait steps and conditional logic, it follows up again after 1 day and after 3 days if the contact hasn't rebooked, then stops automatically to avoid over-messaging. This replaces manual chasing with a consistent, automated recovery sequence for every missed visit.

Post-Visit Follow-Up

Post-Visit Follow-Up

Automated engagement after every completed site tour.

GHL workflow triggered when an agent marks a client as having attended their site visit. The system tags the contact, updates their opportunity stage to Visited, and sends an instant thank-you message. I built in a conditional check using a 2-day wait step and an if/else branch based on the contact's tag status, so the workflow only sends a reservation follow-up message to contacts who haven't yet reserved, while automatically staying silent for those who have.

Reservation Document Collection

One-step document submission with instant pipeline updates.

Built a GHL form and workflow that collects all five reservation requirements in a single submission. Once submitted, the workflow automatically tags the contact as reserved, updates their opportunity stage to Reservation, sends a confirmation message to the client, and notifies the agent with every document link organized in one internal notification. This replaces scattered, manual document collection with a single automated intake process.
